2021 Kaufman Texas Oktoberfest
Event Description:
The Kaufman Oktoberfest will be a community celebration welcoming visitors to our historic town.  Join us for a fun-filled weekend of live bands, kids' games and amusement, shopping with unique vendors, great food trucks, entertainment, and a community blood drive to give back to those in need.  Kaufman Town Square will host vendors on Saturday from 8am-3pm. The Kaufman Sports Complex will be host to vendors Friday - 5pm-10pm & Saturday - 8am-10pm, completing Oktoberfest with carnival activities Sunday - 12noon-5pm. You can pick one location or the other for a spectacular weekend!

Historic Kaufman Town Square and the Kaufman Sports Complex


Vendors and amusements will be set up and ready to serve by 8:00am on Saturday and by 12noon on Sunday.


 
Date/Time Information:
Vendor Set-up 5:00 AM - 7:00 AM - All vehicles must be removed from festival area by 7:30 AM. There will be no Vendor entrance past 6:30 AM.
Vendors will exit the Square by 5:00 PM Saturday.
Oktoberfest continues at the Sports Complex from 5:00 PM Friday, 10/22 - until end of day Sunday, 10/24 at 5:00 PM.

Fees/Admission:
There will only be 1 type of vendor that will be allowed to register.
If you are a competing vendor please call the Chamber office to verify vendor registration.  All vendors must list their retail contents.

BOOTH VENDORS:
Early Registration opens April 1, 2021 to July 2, 2021. Cost is $65 per space on the Town Square and $130 at the Sports Complex. There will be no refunds for early registration.
Regular Registration opens July 3, 2021 - October 1, 2021. Cost is $75 per space on the Town Square and $150 at the Sports Complex.  Last date for refunds is September 30, 2021.
Late Registration (only if space is still available) October 1, 2021 - October 8, 2021. Cost is $85 per space on the Town Square and $170 at the Sports Complex. There will be no refunds for late registration. 
Booth space approximately 10'x10'.  Tent ropes, ties, etc. must fit within the 10'x10' area or you will need to purchase an additional space.  All spaces are uncovered and on asphalt on the Town Square. No in-ground stakes can be driven into the asphalt.
 
FOOD VENDORS:
For any vendor serving food (not just selling food), a $50.00 Food Permit required by the City of Kaufman. You will also need to complete a City of Kaufman Food Permit Application  and return it to the KAUFMAN CHAMBER OF COMMERCE, PO BOX 146, KAUFMAN, TX 75142 or cskinner@kaufmanchamber.com. Food trucks, trailers, tent ropes, ties, etc. must fit within the 10'x10' area or you will need to purchase an additional space.  All spaces are uncovered and on asphalt on the Town Square. No in-ground stakes can be driven into the asphalt. Must provide measurement of truck or trailer (hitch to bumper) in the comments section of the online registration.

If needed, there is a $30.00 additional fee for electricity. Each plug is 20 amps, and you are limited to two (2) plugs. You must list everything you will need electricity for in the comments section of your vendor registration.  Electricity is limited. Priority is given to food vendors - even with early registration. Please contact the Kaufman Chamber of Commerce for approval if you would like to bring your own generator.

 
The Oktoberfest and the Kaufman Chamber of Commerce will endeavor to not have duplicate vendors.  The first vendor to register will be given priority. Duplicate vendors may choose to have their fees refunded or remain on a waiting list until the festival.  If no space becomes available, your fees will be refunded at festival time. The Texas State Comptroller requires all for-profit vendors to have a tax ID number and sales tax permit. Please have the necessary documentation available in your booth on festival day.
 
Rules and Regulations:
All vendors must enter at the Washington St. and 243 intersection and must exit the same way. PLEASE DO NOT GO AROUND ANY BARRICADE, OR DUMP TRUCK. ANYONE GOING AROUND BARRICADES WILL BE SUBJECT TO A FINE. All barricades are in place for safety reasons.
  • Entry deadline is Friday, October 8, 2021 by 5:00 PM or until all spaces are assigned, whichever comes first. There will be no refunds after September 30, 2021 or refunds due to inclement weather.
  • Vendor spaces will be assigned at the discretion of the Chamber of Commerce. All efforts will be made to accommodate requested spaces, but will not be guaranteed.
  • Vendor spaces will not be reserved until all fees are paid in full and insurance information is received, if required.
  • All spaces are uncovered and on asphalt. No in-ground stakes can be driven into asphalt.
  • Booth spaces are approximately 10' X 10'.  Tent ropes, ties, etc. must fit within 10' X 10' area or you will need to purchase an additional space.
  • The 2021 Oktoberfest is a family-oriented event. All merchandise and displays must be appropriate and suitable for all ages. No guns, knives, weapons nor toy guns or weapons of any kind will be allowed.
  • The Chamber staff and its representatives reserve the right to determine the suitability of merchandise and have it removed from display/sales.
  • Food vendors are requested to bring a trash receptacle, chairs and at least one table to set up in front of your food vendor booth. Vendors are responsible for meeting all City and State required health regulations.
  • Vendors with spaces on the Town Square and arterial streets will not be allowed to set up their spaces prior to 5:00 AM on Saturday, October 22nd.  The Square will not be closed to through traffic until this time. Violators to this rule could be issued tickets from the Department of Public Safety and/or the Kaufman Police Department.  All vendors must be set up and have all vehicles removed from the square by 7:30 AM on the day of the festival.
  • Vendors must stay for the entirety of the one-day event, no vehicles on the Square or Vendor exits prior to 3:00 PM.
  • Vendors will receive all event schedules, set-up and clean-up instructions, parking instructions, etc. in the vendor packet, approximately 2 weeks prior to the festival.
  • Any vendor still on the Square past 5pm is subject to pay Security a fee of $40 per hour.
  • Food permits will be delivered to the booths on Saturday morning, October 22, 2021.
For advertising purposes, please submit a photo of your booth. As a registered vendor of the Kaufman Oktoberfest, you give the Kaufman Chamber of Commerce and the City of Kaufman the authorization and right to post, promote, and advertise your participation (booth).  Please LIKE and SHARE Kaufman Oktoberfest on Facebook.               https://www.facebook.com/kaufmanoktoberfest
 
In consideration of the right to participate, entrants, participants and spectators, by registering and paying for your space at this event, release and discharge the Kaufman Chamber of Commerce and the City of Kaufman, State of Texas and their officers, directors, employees, agents, representatives, servants and anyone else connected with management of presentation of the 2021 Kaufman Oktoberfest of and from any and all known or unknown damages, injuries, losses, judgments and/or claims from any cause whatsoever that may be suffered by any entrant expressly agrees to indemnify all of the foregoing entities, firms, persons and bodies from any and all liability occasioned or resulting from the conduct of entrants or any participant assisting or cooperating with entrant under the direction of control of entrant.
